About the Role
As the Executive Assistant, you will be the anchor of the bid team, reporting directly to the Bid Manager, keeping the team organised, on track, and firing on all cylinders. You’ll handle logistics, manage documents, coordinate stakeholders, and ensure every detail is in place.

About the Role
As the Executive Assistant, you will be the anchor of the bid team, reporting directly to the Bid Manager, keeping the team organised, on track, and firing on all cylinders. You’ll handle logistics, manage documents, coordinate stakeholders, and ensure every detail is in place.
Key Responsibilities
- Coordinate bid team logistics such as meetings, travel, workshops, and stakeholder sessions
- Support senior leaders to ensure seamless bid operations and document flow
- Review and streamline internal processes for efficiency and consistency
- Organise alliance working groups and liaise with government agencies, partners, and industry stakeholders
- Maintain accurate records, version control, and document integrity across bid stages
- Prepare and format reports, presentations, and submission materials with precision
- Manage calendars, organise events, and ensure the team has what they need to succeed
- Act as the central communication point for the team and support day-to-day admin needs
- Drive internal communications, team engagement, and on-site coordination initiatives

You’ll thrive if you:
- Have experience in the Adelaide construction or engineering industry
- Understand the tempo of bids, tenders, and major project environments
- Can juggle multiple priorities with precision
- Are proactive, solutions-focused, and comfortable working autonomously or in a team
- Communicate with clarity and professionalism
- Excel in Microsoft Word, Excel, Outlook, SharePoint, and document control systems
- Love improving processes and creating efficiencies
- Are motivated by supporting a team to operate at its best
- 2–6 years experience in executive support or office management in construction, engineering, or infrastructure
- Solid understanding of technical terminology and documentation in major projects
- Strong document preparation and formatting skills
- Confidence liaising with senior stakeholders and consortium partners
- Exceptional organisation and time management skills
- Desire to contribute to a high-performing, outcome-focused team
