As part of a growing bid and project development team, they are now seeking an experienced Office Manager or Executive Assistant to support who brings technical awareness, exceptional coordination skills and a proactive mindset. You will already be based in the Adelaide construction industry and understand the rhythm, expectations and pace of major project environments.

This position acts as the central support function across the bid team, reporting directly to the Bid Manager. It requires organisation, attention to detail and the ability to stay calm and effective when managing competing deadlines.

About the role
This position acts as the central support function across the bid team, reporting directly to the Bid Manager. It requires organisation, attention to detail and the ability to stay calm and effective when managing competing deadlines.
Your role will include:
- Coordinating all bid team logistics including meetings, travel, workshops and stakeholder sessions
- Supporting senior leaders to ensure the smooth operation of bid activities and document flow
- Reviewing and improving internal processes to streamline efficiency and support consistency
- Managing the set-up, scheduling and coordination of alliance working groups
- Liaising with government agencies, project partners and industry stakeholders
- Maintaining accurate records, version control and document integrity throughout bid stages
- Preparing and formatting reports, presentations and submission materials with a high level of accuracy
- Managing calendars, organising events and ensuring teams are prepared with the correct information
- Acting as the central point of communication across the team and assisting with day-to-day administrative needs
- Supporting internal communications, team engagement initiatives and on-site coordination requirements

- Have previous experience in the Adelaide construction or engineering industry
- Understand the tempo of bids, tenders or major project environments
- Are comfortable managing multiple priorities at once
- Bring high attention to detail and strong follow through
- Are proactive, solutions focused and confident working both autonomously and in a team
- Communicate with clarity and professionalism
- Have strong skills across Microsoft Word, Excel, Outlook, SharePoint and document control platforms
- Enjoy improving systems and processes
- Are motivated by supporting a team to operate at its best
What you will bring
- Minimum of 5 to 8 years experience in office management, executive support or project coordination within construction, engineering or infrastructure
- A sound understanding of technical terminology and documentation common within major projects
- Strong capability in document preparation and formatting
- Confidence liaising with senior stakeholders and consortium partners
- Exceptional organisation skills and an ability to manage time effectively
- A desire to contribute to a team focused on delivering outcomes of high importance
